POSITION: Data Clerk/Program Assistant

DEPARTMENT: College of Critical & Professional Studies 

REPORTS TO: College of Critical & Professional Studies Associate Dean, and the Director of the MM Music Education & Summer Music Studies


Note: This position works 35 hours per week, Monday through Friday 9am-5pm, and may be required to work evenings during the start of Continuing Education each semester. 

DEPARTMENT: College of Critical & Professional Studies

This position reports to the College of Critical & Professional Studies Associate Dean, and will:
•    Assists/receives walk-in students with registration (all College Programs)
•    Answers phones, intakes phone registration, basic program advising (all College Programs)
•    Answers daily emails to College main email inbox 
•    Intakes and circulates daily mail received
•    Processes and manages registration for College programs
•    Maintains student registration files, including problem registrations 
•    Processes daily credit card receipts and check verifications, as needed
•    Scans and sends College student records to Office of the Registrar via OnBase
•    Fullfills student requests for receipts, grade reports, refunds, etc.

DEPARTMENT: Summer Music Studies and MM Programs

This position reports to the Director of the MM Music Education & Summer Music Studies and, and will:
•    Answers daily emails to SMS/MM main email inbox
•    Retrieves and answers emails, faxes, and calls directed to SMS and MM programs and respond to and/or forward email and voicemail messages as needed.
•    Supports the collection of electronic and paper files for faculty and student records 
•    Prepares the assembly of instructor packets at the start of each semester
•    Runs contracts for SMS and MM and related programs.
•    Updates the UArts website and online registration software with new content and the upload syllabi and other relevant course materials 
•    Proofreads copy for print materials and course build
•    Assists with course cancellation process.
•    Assists with exit survey administration for SMS/MM programs, create online forms as needed
•    Assists with ACT 48/45 coding of students
•    Processes Graduate Program application paperwork, includes monitoring the progress and completion of application materials
•    May be on-site in summer at Ursinus College, Villanova University, or other locations for the program to assist faculty and students as needed

•    Bachelors degree required
•    Excellent customer service skills
•    Excellent organizational, interpersonal and communication skills
•    The ability to effectively manage multiple tasks simultaneously
•    Proficiency with Microsoft Word and Excel required
•    Attention to detail and minimal errors related to data processing tasks required
•    Knowledge working with Colleague or similar database is preferred
