Position: HR Coordinator (2 Positions)

Summary:
The HR Coordinator, under direct supervision, is responsible for administrative and technical support to the HR Department. As the first point of contact, the HR Coordinator must be friendly and handle sensitive situations with utmost diplomacy.

Key Responsibilities:

  • Assists HR Department in carrying out various human resource programs and procedures for all University constituents.
  • Scans and accurately links documents into OnBase Document Management System. Trains and supports office staff on digital imaging software.
  • Posts positions for Faculty and Staff on internal and external website. Maintains campus job boards. Maintains job content questionnaires, job descriptions and all required requisition forms. Works with hiring managers, disseminates applications to the appropriate hiring manager, and responds to applicants.
  • Creates and maintains University Portal (intranet) and website space
  • Processes new hires including background checks process & ensures ACT153 checks are in compliance; new hire communications; ensures required forms are completed and signed; follows-up with departments & individuals; sending pre-adverse/adverse action letters. Sends communications for required harassment training and access to pay vouchers and time & attendance system.
  • Assists and pleasantly greets all visitors to the HR Department, handles inquiries, requests and answers the main office phone in a pleasant friendly manner.
  • Accurately maintains employee files and ensures compliance. Keeps employees records up-to-date by processing employee forms in a timely manner.
  • Organizes and maintains human resource files in Archives and payroll files. Manages and orders office supplies while staying within budget.
  • Oversees & files Worker’s Compensation claims and related correspondence. Maintains OSHA report of injury log. Posts OSHA log annually when required by law. Maintains employment law posters and ensures the most up to date are displayed.
  • Maintains job content questionnaires, job descriptions and all required requisition forms. Maintains all fillable forms.
  • Assists Payroll Administrator as needed with time and attendance system, email communications, additional payment authorization processing, reviewing payroll preview for accuracy.

Knowledge, Skills, Abilities, Competencies:

  • Bachelor’s degree in human resources
  • Preferably 12 months experience in an office environment
  • At least 12 months HR experience (internships accepted)
  • Occasional overtime
  • Ability to multi-task, handle multiple priorities and change according to need
  • Must display emotional intelligence
  • Ability to handle difficult and sensitive situations/information with utmost diplomacy
