Position:          Special Assistant to the Vice President for Advancement

Department:     Advancement Office

Description:     Reporting to the Vice President for Advancement (VPA), the Special Assistant provides support for the activities of the VPA.  The position involves processing a variety of details of considerable complexity.  It also involves communications with a wide variety of internal and external audiences.

Responsibilities:

  • Maintains the VPA’s calendar, handles mail and correspondence
  • Maintains overall management of office, procedures, records and files, including the greeting and screening of all visitors and callers
  • Oversees and monitors Advancement Office budgets, and personnel issues
  • Assists in preparation for meetings of Board of Trustees, Board Committees and Advancement Staff Meetings
  • Organizes some Advancement Office special events and provides office liaison for events organized by other offices.
  • Manages Raiser’s Edge action entry for the VPA and other Advancement staff
  • Performs related duties as required

  • Self-motivated and outstanding organizational skills
  • Superior communication skills, including ability to write clearly
  • Command of Microsoft Word and Excel
  • Donor management database experience, Raiser’s Edge preferred

Minimum education and experience:

  • Graduation from a recognized college or university
  • 3-5 years of increasingly responsible experience in an office setting; or any equivalent combination of experience and training that provides the required knowledge, skills and abilities
  • University or Non-Profit Development experience preferred
