Administrative Assistant (School of Music)

‪‪POSITION: Administrative Assistant
DEPARTMENT: School of Music

DESCRIPTION: Reports to the Assistant to the Director of the School of Music. The Administrative Assistant provides logistical and administrative support for the School of Music, and functions as an administrator with specific assigned duties.

RESPONSIBILITIES:

  • ‪‪Maintains all student, faculty, staff and vendor files
  • ‪‪Supervises School of Music office, audition assistant and open house work-study students, approves time-cards, and manages work-study budget
  • ‪‪Prepares and submits check requests, expense details, and receipts for faculty and staff reimbursement
  • ‪‪Prepares and submits contracts for payment for services of outside contractors/clinicians/guest artists
  • ‪‪Updates and manages the School's website and social media sites
  • ‪‪Coordinates and manages SOM audition days, including student and faculty schedules, placement testing, audition and warm-up room scheduling, work study assignments, and office management
  • ‪‪Contacts all applicants scheduled for on-campus auditions via phone and email to confirm and encourage attendance, answer questions and maintain an accurate list for scheduling
  • ‪‪Creates, maintains and distributes contact list of prospective, auditioned, accepted and deposited students for faculty follow-up and recruitment
  • ‪‪Distributes and collects audition evaluations, and is the SOM official liaison with the Admissions Office
  • ‪‪Works with the Director in coordinating student schedules for the new SOM degree program (MBET)
  • ‪‪Books School ensembles and arranges transportation for off-campus performances
  • ‪‪Collects and sends school and faculty news and events to communications department
  • ‪‪Coordinates and provides administrative support for ACCLAIM provisional acceptance summer program
  • ‪‪Provides administrative support for School of Music Pre-College Program
  • Performs related duties as assigned

REQUIREMENTS:

  • Bachelor's Degree in Music or related field preferred
  • Excellent computer skills (Microsoft Office Suite including word processing, database, spreadsheet, and email, Google Apps, desktop publishing, Internet, School social networking sites)
  • Working knowledge of music, instruments, ensembles, and performance practices
  • Effective organizational and interpersonal skills
  • Ability to handle multiple tasks simultaneously and to function effectively under pressure.
